DGr Pharma, member of the Symeres group, is a young and dynamic consultancy company with a very strong client base. DGr Pharma specializes in guiding drug development programs from end lead selection to Phase II clinical development. We are now recruiting for a Document Manager, (e-)Archivist and Personnel File Administrator to join our office in Breda on a part-time basis (16 hours per week).

Do you take pride in keeping processes organised, documentation accurate, and administration running smoothly? In this role, you will be responsible for coordinating and performing document management, archiving, electronic archiving, and personnel file administration activities within DGr Pharma. Working within a GLP-regulated environment, you will help ensure these activities are carried out accurately, consistently, and in accordance with applicable SOPs, guidelines, and regulatory requirements.

You’ll work across document management, physical and electronic archiving, personnel file administration, and office management activities, ensuring documentation, archives, personnel files, and related administrative processes are complete, well organised, and maintained to a high standard. This role is well suited to someone who is highly organised, detail-oriented, quality-focused, and comfortable working independently while handling confidential information with professionalism and care.

In this role, you’ll:

  • Coordinate document management activities in accordance with applicable SOPs, GLP requirements, and regulatory standards.
  • Prepare, distribute, maintain, and retrieve controlled documents while managing the controlled document inventory.
  • Monitor document review schedules and coordinate document archiving activities.
  • Register training records and confirmation of reading for controlled documents.
  • Maintain physical and electronic archives, ensuring documentation remains complete, secure, accessible, and traceable throughout the required retention period.
  • Retrieve archived documentation following authorised requests and coordinate the transfer or removal of documents when appropriate.
  • Administer personnel files, ensuring employment documentation, training records, diplomas, certificates, and other required records are complete and accurately maintained.
  • Handle personal and confidential information with discretion and in accordance with privacy requirements.
  • Coordinate recurring office management and administrative activities, providing practical support where required.
  • Maintain up-to-date knowledge of relevant procedures, regulations, and internal processes.

  • Practical experience in document management, archiving, administration, quality assurance, or a comparable field.

  • A quality-focused mindset with a strong sense of responsibility and ownership.
  • The ability to handle confidential information with discretion and professionalism.
  • A proactive, dependable, and service-oriented approach.
  • Confidence working independently while coordinating multiple administrative activities.
  • Experience in a GLP-regulated environment is an advantage but not essential.
  • A willingness to learn DGr Pharma-specific processes and responsibilities through on-the-job training.

DGr Pharma

Within DGr Pharma, we focus primarily on Phase I studies, including first-in-human studies, and Phase IIa studies. Assignments include clinical program and study design, related protocol writing, non-compartmental data analysis, and report writing.

Location

Our office is based in Breda, the Netherlands. This is an office-based position for 16 hours per week, preferably spread across Mondays and Thursdays, as these are the days when most employees are present in the office.

Interview process

The interview process includes a digital pre-screening followed by two live interviews in Breda.
